Client’s Pain Point
Vantage Insurance (VI) is an Ohio-based organization that provides Health, Vision, and Auto Insurance coverage for US residents. The company has recently entered a partnership with Greystone Investments (GI), a popular Investment Bank in Ohio. VI expects to leverage this partnership to capture more customers from GI’s clientele of high-net-worth individuals. To collaborate efficiently, the partners needed an automatic sync solution to distribute contacts cross-organizationally.
The project team at VI used the popular CRM software, ActiveCampaign, for managing contacts as well as for its email marketing efforts. On the other hand, GI was managing its employee, client, and industry contacts with HubSpot. At the time of the partnership, VI had over 3500 contacts while GI had a list of roughly 2750 contacts. Consequently, sorting, merging, and handling duplicate contacts posed a logistical nightmare for these teams. Also, manually updating Contacts as they are added would be time-intensive, resulting in several hours of lost productivity every week.

After running a search for a Contact sync solution on a search engine, Joe, a manager at VI, discovers CiraHub, a 2-way automatic sync solution for Contacts and Calendars suitable for organizations using Microsoft 365, Microsoft Exchange, and G-suite. On CiraHub’s Dashboard, Joe starts a Hub & Spoke Setup process. He selects “Contacts” and chooses “CRM” and “ActiveCampaign” as the source type of the Contact spoke. Then, she logs in to ActiveCampaign as an Admin using his department’s login details. Then, he adds a new “spoke” to the Hub using the other company’s HubSpot account and selects “Allow hub to create and sync items in this spoke” from Sync Options on the Dashboard. Lastly, he uses CiraSync to distribute the CRM contacts to every employee’s smartphone. The result was an automatic 2-way sync that reflected any new Contact additions to both ActiveCampaign and HubSpot every hour throughout the day.
